How to add or edit a customer contact

Add an On-Site or Accounting contact to a customer's account so your team knows who to contact and where order and billing information should be sent.

Contact Types

When adding a contact to a customer profile, you can choose between On-Site (previously foreman) and Accounting.

On-Site

An On-Site contact is the person at the customer's job site who can be contacted about:

  • Order information
  • Deliveries
  • Schedule updates
  • Job site or site-related questions

When an On-Site contact is selected for an order, their contact information will appear on the order. They will also receive relevant order updates and order information for that order.

Please Note: Foreman is now On-Site. We've renamed Foreman to On-Site to better reflect how this contact is used. You’ll still select an On-Site contact when creating an order, but the new name better represents the different types of people who may be responsible for a job site.

Accounting

An Accounting contact is responsible for billing-related communication.

Accounting contacts:

  • Receive the emailed invoice when an order is completed
  • Handle invoice and other billing-related communication

Accounting contacts are not selected on individual orders like On-Site contacts. All contacts selected as an accounting contact will receive the emailed invoice. This is helpful if you have multiple accountants or people who need to receive the delivered invoice. If no accounting contact is selected, the invoice will be emailed to the on-site contact. 

Steps to Add or Edit a Contact

  1. In the left-hand navigation bar, click Customers.
  2. Find the customer you want to update, then click the customer's name to open their profile.
  3. At the top of the customer profile, click the Contacts tab.
  4. Choose whether you're adding a new contact or editing an existing one:
    • To add a contact: Click Add Contact in the top-right corner.
    • To edit a contact: Find the contact in the list, click the three-dot icon next to their name, and select Edit.
  5. In the pop-up window, select the appropriate Contact Type:
    • On-Site Contact — for people who need to receive order and jobsite-related information.
    • Accounting — for people who receive invoices and handle billing-related communication.
  6. Enter the contact's information.
  7. If applicable, check Invite to Contractor App and select the appropriate Contractor App Permissions.
    • You can choose what the contact can do in the Contractor App by selecting one of the following permission levels:
      1. Full Permissions: One contact per company can have full permissions. This will allow them to create and edit orders and invite team members.
      2. Limited Permissions: This will allow them to create orders.
      3. No Access: No access to the Contractor App.
    • Remember that an email address is required to send the invitation.
  8. Click Save.

The contact will now appear on the customer's Contacts tab.
